30 Days Prior 1. Applicant (A/E: architect/engineer) meets with Commissioner of Development or designated representative (Building Official/Planning Board Clerk). A/E requests Planning Board Schedule of Critical Dates for upcoming meetings.

2. A/E files application for Zoning Review with Bureau of Buildings

22 Days Prior 3. A/E files application with Bureau of Buildings for Planning Board action (if BAZ action is not required) and submits:
a. Application form w/ Bureau of Buildings Zoning Review Report
b. Fee payment
c. Long EAF (Environmental Assessment Form)
d. Five (5) copies of plans and technical documents for inter-department review.
21 Days Prior 4. Board Clerk distributes Plans and Comment Sheets to:
a. Bureau of Buildings – 1 copy
b. Department of Public Works/Traffic Engineer – 2 copies
c. Fire Department – 1 copy
d. Planning/File – 1 copy
20 Days Prior 5. Board Clerk prepares Agenda
15 Days Prior 6. Comments returned to Department of Development (DOD) from City departments and faxed to A/E to make changes.

7. A/E obtains a sign describing the action from DOD to post on the site (see Items 7 & 7a in package).

14 Days Prior 8. City e-mails Agenda to Newspaper, if Public Hearing.
12 Days Prior 9. City e-mails Agenda to newspaper, if no Public Hearing required.
11 Days Prior 10. City forwards agenda to Chairman, Council, Department Officials and others.
10 Days Prior 12. A/E notifies all property owners within 250 ft. of site by certified mail.
8 Days Prior 13. City mails packages to Board Members.

14. City mails Agenda to neighborhood associations

4 Days Prior 15. A/E submits Post Office receipts and certification of mailing to DOD. A/E submits affidavit of sign posting (see Item 7a in package) to DOD.
Last Tuesday Planning Board Meeting
Within 2 Days After Hearing
16.Remove sign posted on site.


Approx. 1 week after Planning Board approval, PB resolution will be faxed to the A/E with instructions on how to proceed.


Note: Projects which are located on or near State/County roadways or other governmental facilities may require that the A/E also forward plans for that agency’s review. Consult with Planning Board Staff at DOD.
